Event Registration and Participation Policy

CMG Event Registration and Participation – Terms and Conditions

 This document sets out the terms and conditions between CMG and you when you register for any event or conference organized by CMG. By registering for an event or conference organized by CMG you are agreeing to comply with these terms and conditions. You should read this document carefully.

 Acceptance of policies and registration conditions

The following CMG Registration Terms & Conditions (the “Terms & Conditions”) apply to all CMG events. Prior to your registration, you must acknowledge and accept the Terms & Conditions contained herein. Should you not wish to accept the Terms & Conditions you should not register.

Submission of a registration is regarded as an affirmation of your acceptance of the Event Terms & Conditions.

Cancellation

We shall not be liable to you for travel, accommodation or other costs and expenses incurred (included wasted costs and expenses) if we are required to cancel or relocate the event as a result of an event outside our reasonable control (including, without limitation, to acts of God, floods, lightning, storm, fire, explosion, war, military operations, acts or threats of terrorism, strike action, lock-outs or other industrial action or a pandemic, epidemic or other widespread illness).
Online Events  – All online event tickets are non-refundable. You may be able to transfer your ticket to another event, subject to availability.  It’s participants’ responsibility to be able to access the online event. There are no refunds for missed attendance or delays due to technical issues, connectivity or other problems. Please carefully review the time/timezone to join on time.
CMG may terminate a registration at any time in the event of material breach of these terms and conditions. In the event that CMG terminates the registration agreement following a material breach of these terms and conditions, registrant shall receive no refund.
In the event that the event does not occur, CMG will refund the ticket fee amount to registrant within 30 days of providing notification of termination of the Event. Tickets bundled with membership shall be refunded less the cost of membership. In-person tickets are bundled with virtual participation and will be refunded less virtual participation and membership fees.
Cancellations on behalf of the registrant shall be submitted in writing and are non-refundable unless approved by the Managing Director and may require documentation of death, funeral, or hospitalization. In-person registrations are transferable unless specifically stated.    

How we will use your information

CMG is committed to data privacy and protecting your personal information. Information on how CMG collects, processes, and uses your data is included in the CMG Privacy Policy which is hereby incorporated into these Terms & Conditions.  Additionally, by submitting your email address during the event registration process, you agree that CMG and its event partners may send you association and event-related information.  A valid email address is required for all registrations.

CMG uses the personal data you provide in this registration for administering your participation in this event.  This may include information about the event’s content, event logistics, payment, updates, and additional information related to the event. You may be opted into receiving emails periodically from CMG about the organization and relevant events.

CMG may disclose your personal data to third party service providers engaged by CMG to assist in the conduct of the event (e.g. housing bureau, mobile application provider).  Information you provide when registering for or participating in an event managed or co-sponsored by parties other than or in addition to CMG may be shared with those parties, and the treatment of such information is further subject to the privacy policies of those parties.  Except as described herein, CMG will not disclose your personal data to any other third party without your consent except where required to do so by law.
In some cases, CMG may disclose your contact information (not to exceed name, title, company, email, phone, city, state, country) with identified partners. To opt out of this practice, a written request must be submitted to [email protected] prior to the event for which you are registering.
By participating in CMG events you are acknowledging that Lead Retrieval services may be provided to exhibitors at this event. This allows the scanning of attendee badges and collecting of basic business card information including name, company, job title, email, phone and basic demographic data. You can choose to not participate in Lead Retrieval by not providing your badge to exhibitors to scan.

Nondiscrimination policy

CMG prohibits discrimination, harassment, and bullying against any person for any reason—for example, because of age, ancestry, color, disability or handicap, national origin, race, religion, gender, sexual or affectional orientation, gender identity, appearance, matriculation, political affiliation, marital status, veteran status, or any other characteristic protected by law.

Event conduct and safety

CMG is committed to providing a safe, productive, and welcoming environment to all participants, including staff and vendors, at CMG-related events. CMG has no tolerance for discrimination, harassment, or bullying in any form at CMG-related events. This includes offensive verbal comments related to gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion, technology choices, sexual images in public spaces, deliberate intimidation, stalking, following, harassing photography or recording, sustained disruption of talks or other events, inappropriate physical contact, and unwelcome sexual attention.

Participants are expected to adhere to these principles and respect the rights of others.  Participants asked to stop any harassing behavior are expected to comply immediately.

Sponsors are also subject to the anti-harassment policy. Sponsors should not use sexualized images, activities, or other materials with their participation. Booth staff (including volunteers) should not use sexualized clothing/uniforms/costumes, or otherwise create a sexualized environment.

If a participant engages in harassing behavior, the conference organizers may take any action they deem appropriate, including warning the offender or expulsion from the conference with no refund.

What To Do If You Witness or are Subjected to Unacceptable Behavior:  If you are being harassed, notice that someone else is being harassed, or have any other concerns, please contact a member of conference staff immediately. Do not wait. Conference staff can be identified with their name badges. You may also contact CMG directly to report a concern at [email protected].

Conference staff will be happy to help participants contact hotel/venue security or local law enforcement, provide escorts, or otherwise assist those experiencing harassment to feel safe for the duration of the conference. We value your attendance.

We expect participants to follow these rules at conference and workshop venues and conference-related social events.

Liability waiver & release

In consideration of being allowed to register for, and participate in the event, I hereby warrant and represent that I am age 18 or above and freely waive, release from liability, assume all risks, and covenant not to sue CMG or its members, employees, board members, agents, or volunteers for any expense, loss, damage, personal injury, including loss of life, disability, property damage, or property theft or actions of any kind that I may hereafter suffer or sustain before, during, or after the event, unless said expense, loss, damage, personal injury, including loss of life, disability, property damage or property theft or actions of any  kind is caused by the sole, gross negligence of CMG.  This Liability Waiver and Release is specifically binding upon my heirs and assigns and is knowingly given.  

Credential/badge scanning at the event

CMG event co-sponsors, exhibitors, and other third parties may directly request your personal information at their exhibit booths or presentations.  Providing your information to them is optional, and you should review their privacy policies to address your particular needs and concerns about how they will treat your personal information. 

If during the event you attend a session or program hosted by an exhibitor other than CMG, you understand and agree that when you present your badge for scanning or when you provide personal data, that information will go to a non-CMG entity and CMG takes no responsibility for how that company uses your personal information.

Usage of photographic and video material taken at CMG events

To comply with global data privacy laws, CMG imposes certain restrictions on the use of multimedia at its events (e.g. photography, video, audio, online streaming, and all future mediums).  An attendee is permitted to use hand-held cameras and/or smart phones to take photographs and capture digital images for personal, non-commercial use, provided the photography is not disruptive. Photographs may not be published, sold, reproduced, transmitted, distributed or otherwise commercially exploited in any manner whatsoever.

CMG may hire professional service providers (photo/video/streaming/audio) to document and display the event experience.  CMG may also use social media (e.g. Twitter) to: (i) post real-time photos and videos to its social media feeds; and (ii) display select submissions from those feeds on monitors throughout the event venue.  Attendees and sponsors are encouraged to capture their event experiences and post their own social content from the event (text, photos, audio, video, streaming), provided it does not infringe upon the rights of any attendee, sponsor, third party, or CMG.  Such infringement would include, but is not limited to, defamation or infringement of intellectual property rights.  In the event an attendee requires a release or permission to protect the rights of a third party, obtaining such a release or permission shall be the sole responsibility of the attendee.   

By attending the event, you acknowledge and agree as follows: (a) CMG may edit and use footage it captures at the event for marketing and promotional activities and for any other lawful purpose in the ordinary course of its business; and (b) due to the prevalence of mobile recording devices in today’s world, CMG disclaims all liability for the capture of your image in any multimedia format by other attendees at the event.

General

CMG reserves the right to change, amend, add or remove any of the above Terms & Conditions in its sole discretion and without prior notice. If one or more of the conditions outlined in these Terms & Conditions should become invalid, the remaining conditions will continue to be valid and apply. These Terms & Conditions apply to all event participants (attendees, speakers, sponsors, exhibitors).

The views expressed by any event attendee, speaker, exhibitor, or sponsor are not necessarily those of CMG.  All attendees, speakers, exhibitors, and sponsors are solely responsible for the content of all individual or corporation presentations, marketing collateral, and/or advertising.  

Changes to this Policy

CMG reserves the right to make changes to this Privacy Policy without advance notice. The revised Policy will be effective when posted online.
