Subject Area Chair Documentation for the Paper Submission System

  1. Log in to the system

Subject Area Chairs have already had accounts created for them. To request your password, enter your email address in the appropriate field and choose "Remind". When your account is found, your password will be sent to your email address.

  2. View/Edit Abstract

The first task is to review each abstract by selecting the radio button to its left and choosing 'View/Edit Abstract'. On this page you can correct the Platform and Subject area based on your reading of the abstract or paper. Please keep in mind, that by changing the Subject Area, you move this abstract / paper to the attention of another Subject Area Chair.

  3. Download

Once an author uploads a paper, the Download link becomes available for that paper. Simply click the link to download. The paper will be in the exact format and document type as when it was uploaded.

  4. Mark as Flagged

You may choose to mark an abstract or paper as 'Flagged' at any time for reasons such as violation of the Paper and Presentation Guidelines. Upon doing so, you will be provided with a comment box, which the author will be able to see. Please include comments that will help the author fix and update their paper and or abstract.

  5. Allow Evaluation

You only need to use this command to clear the 'Paper Updated' warning, which prevents referees from downloading and evaluating this paper. Please be sure you have downloaded and reviewed the latest version of the paper to ensure it follows CMG's Paper and Presentation Guidelines.

  6. Create a new Referee

In order for your referees to log in to the system, you must create an account for them, which consists of a referee number and password. Both of which are generated by the system. It is your responsibility to track which referee goes with which referee number and password. We suggest you keep an Excel Spreadsheet to track this info.

Once you assign a referee, you must contact them to provide them with their Referee number and password. They can then proceed to the Main Menu and login as referees.

  7. Assign Referees

This screen will provide you a list of referees assigned to the selected paper, as well as a drop down list of your available referees. By selecting a referee and choosing assign, the assigned referee will now be able to download and evaluate this paper. Please note, you should NOT assign referees unless you have inspected the paper to ensure it meets the proper guidelines, specifically, that it contains no author information.

  8. Unassign Referees

This screen will provide you a list of referees assigned to the selected paper. By selecting a referee and choosing Unassign, the assigned referee will no longer be expected to referee this paper. Please note, Unassigning a referee deletes this referee's evaluation for the associated paper, whether completed or not. This action can NOT be undone.

  9. View Referees

This screen will provide you a list of referees assigned to the selected paper.

  10. View Evaluations

This screen will provide you a list of completed evaluations for the selected paper. You can click the hyper-linked referee numbers to read the completed evaluations by each referee.

  11. Summary Report

A web based report which summarizes evaluations by Paper. A score is generated for each evaluation based on the Overall Rating, where: Award Quality=4, Excellent=3, Good=2, Fair=1, and Reject=0. An average referee score is also computed for each paper.

  12. Referee Assignments by referee

A web based report which details which referees are assigned to which paper, sorted by referee

  13. Download All Evaluations Summary

This option will provide you with a CSV (comma separated values) file which contains all the evaluations assigned (completed or not) for all the papers in your area. CSV files can be imported into spreadsheet programs like Microsoft Excel for detailed analysis. Reports are available in: record per row or record per column format.

  14. Download Completed Evaluations Summary

This option is the same as the above, with the exception that only Completed evaluations are included.
